Data we collect
We collect the data you give us (such as name, email, phone number, company and message when you fill in a form, book a space or become a member); the data needed to manage bookings, memberships, building access and invoicing (such as tax number, billing details and your digital access card); images captured by the video surveillance in our spaces; and technical data collected through cookies and similar technologies, with your consent where required.
How we use your data
We use your data to: reply to your requests and send proposals (steps prior to a contract); manage bookings, memberships, building access and invoicing (performance of a contract and legal obligations); send newsletters and marketing (consent, which you can withdraw at any time); measure and improve our website (consent for non-essential cookies); and protect people, property, our systems and our rights, including through video surveillance (legitimate interests).
Who we share data with
We share data only with service providers acting on our behalf and bound by data processing agreements: Google (Analytics and Tag Manager for website statistics, and Google Workspace, including Calendar for meeting-room bookings), Zoho (CRM), Mailchimp (newsletters), Cal.com (bookings), Stripe (payments), and our website hosting and building access-control providers. We also share data with public authorities where the law requires. We do not sell personal data.
International transfers
Some of these providers, including Google, Mailchimp, Stripe and Cal.com, may process data in the United States. Where they are certified under the EU-US Data Privacy Framework, transfers rely on the European Commission’s adequacy decision; otherwise, on the Commission’s Standard Contractual Clauses.
How long we keep your data
We keep personal data only as long as needed for the purposes above: enquiry data for up to 24 months after our last contact; video surveillance images for no more than 30 days, unless needed for a legal investigation; contract and invoicing data for the periods required by law (generally 10 years for accounting records); and marketing data until you withdraw consent.
Video surveillance
All Heden spaces use video surveillance to protect people and property. Cameras cover entrances and common areas, never toilets or changing areas, and are signposted at every entrance. Images are kept for no more than 30 days, are accessed only by authorised Heden staff, and are shared only with the authorities where the law requires. They are not used to monitor anyone’s work performance.
Your rights
You have the right to access, rectify and erase your data, to restrict or object to its processing, to data portability, and to withdraw consent at any time without affecting earlier processing. To exercise these rights, email info@heden.co. We may ask you to confirm your identity.
Complaints
You can also lodge a complaint with the Portuguese data protection authority, the Comissão Nacional de Proteção de Dados (CNPD, www.cnpd.pt).

Minors
Our website and services are intended for adults, and we do not knowingly collect data from minors.
